Policy on Purchase of Promotional and Visibility Items

Eligible Promotional Items

The Institute will establish a list of eligible promotional items which meet the organizations professional image, promote visibility of the brand and provide good value for money.

Categories

  • Promotional Items: Eligible items as determined by the Institute, intended for distribution at Institute events in recognition of participation. The items are branded with the PIPSC logo and may include the approved constituent body logo and other branding as determined by the Institute from time to time. The use of the constituent body logo should be under the authority of the constituent body or PIPSC. Paid for by the constituent body from its annual allowance.
  • Gifts: Eligible items as determined by the Institute, intended for distribution to members or others as a form of recognition for service or as a prize for participation. Paid for by the constituent body from its annual allowance.
  • Banners: Signage displayed at Institute events. Paid for by the constituent body from its annual allowance.
  • Rally/Parade: Eligible promotional materials displayed at a public demonstration of support for an Institute supported event or cause. Paid for by the Institute, at the discretion of the President, Executive Committee or Board of Directors.
  • Campaigns and Initiatives: Promotional materials distributed to constituent bodies as part of a campaign or initiative. Paid for by the Institute, at the discretion of the President, Executive Committee or Board of Directors.

Sourcing:

The Institute will maintain a partnership with a national supplier that will provide quality promotional items, in a timely manner at a competitive price point for all constituent bodies based on the list of eligible promotional items.

All promotional and visibility items must be purchased from the Institute’s preferred supplier. The supplier will maintain a Web site, allowing members or constituent bodies to order items online benefiting from discounted prices as a result of a large volume of purchases. All items will be branded as per Institute specifications, with the option of adding a constituent body logo at an additional cost.

Distribution:

The supplier will ship all promotional items directly to the individual placing the order. The purchaser will be responsible for the cost the material purchased as well as the cost of shipping the material. From time to time, the Institute may distribute promotional items to some or all constituent bodies at Institute expense (at no charge to the constituent body) based on the size of the constituent body.
