John – send out notice for next meeting All – send meeting travel expenses to Shaochun (whether mileage or $3 per bus trip) John – Work with Lorraine Young at PIPSC to use send out invitation and use on-line registration for summer social Aim to have invitation sent out ASAP (use last year’s invite as template), with a registration deadline of August 14th. John – Book caterer/BBQ people for summer social Awaiting quote from Newport; response forthcoming. Budget $xxx–$xxx? (out of the total budget mentioned below) New Action Items Charity et al. – plan summer social $xxx budget Heng – Buy gift cards for use as door prizes: 6 x $xx each LCBO, Wal-Mart, Rona, Canadian Tire, Cara (i.e. Swiss Chalet/Harvey’s/Milestones/Kelsey’s/Montanas, https://www.caragiftcards.com/eng/index.php), HBC were proposed as stores Charity – Buy sheet cake, drinks (carbonated, juice, water), Ziploc bags? Charity – Invite “special guests” to BBQ: Debi Paul Godin Sean Others? Liping, Shaochun, Heng – purchase piñatas and candy Either Wal-Mart or dollar stores, depending on quality and availability. Heng – Purchase toys for scavenger hunt, other kids prizes Do once we find out what numbers we’re expecting, and what ages they are. We still have some toys left over from last year, too, so they can be used. Liping – Bring bat for piñatas Juli – Book balloon guy for two hours Beverley – Purchase “super balls”, dollar-store tattoos, and gifts for the “pass the parcel” game Do once we find out what numbers we’re expecting, and what ages they are. Current events list for the BBQ (weather permitting): BBQ itself Piñata (full of candy) Spoon race (using super balls, which the kids can keep) Three-legged race Scavenger hunt “Pass the parcel” type door prizes for children A package with many, many layers of wrapping paper gets passed from kid to kid (maybe with each taking off a single layer?) Inside each layer of wrapping paper is a tag that says “gift” or “no gift”: kids get to pick something from a selection of gifts if they get a gift tag A big prize will be inside the package itself Door prizes for adults: draw name tags once they’re returned Thyme and Again may be a good caterer to use for the winter social: they have a good relationship with Groovy Grapes and are very close to the Hall. |
